Electric Forklift Delivery Acceptance Checklist: What Buyers Should Record Before Signing

Use a controlled delivery acceptance checklist to match the arriving electric forklift, documents and visible condition to the order before signing the carrier record.

Treat delivery acceptance as a controlled record

Delivery day is a useful checkpoint, not an automatic confirmation that every commercial, technical or site question has been resolved. Before a buyer signs a carrier receipt, acknowledges delivery or releases a payment milestone, the receiving team should be able to identify the arriving electric forklift, compare it with the order record and preserve any visible exceptions in a way that the supplier, carrier and buyer can discuss later.

This checklist helps a B2B buyer organise a receiving record. It does not inspect internal components, declare a truck safe to operate, approve a site, determine a freight claim, replace the delivered manuals or give legal, insurance, safety or technical advice. The purchase contract, applicable transport terms, carrier process, delivered equipment instructions and qualified people responsible for the site determine those matters.

Set the receiving role before the truck arrives

A delivery can involve a buyer, importer, local dealer, carrier, warehouse team and end user. Decide who may sign documents, who takes photographs, who can record an exception and who must be told when the delivered equipment differs from the expected package. A person available at the gate should not have to make an unsupported decision about a model, attachment or battery configuration.

Give the receiving team one controlled reference: the latest order or agreed configuration record, packing list where supplied, delivery contact details and a short list of open points. Mark an earlier quotation as superseded if a later approved change exists. This prevents a new mast, fork length, charger or accessory from being judged against an outdated sales document.

Receiving roleQuestion to settle before delivery
Authorised recipientWho may acknowledge receipt or note a visible exception?
Configuration contactWho can compare the unit identification and supplied items with the latest agreed record?
Carrier contactWhere should a transport-related issue be recorded or reported under the agreed process?
Supplier or dealer contactWho receives a written clarification request about an apparent order difference?
Site ownerWho decides when commissioning, familiarisation, training and local site requirements are complete?

For cross-border transactions, keep the named delivery point, documents and division of responsibilities in the commercial file. Our electric forklift Incoterms checklist can help the buying team distinguish that conversation from the physical receiving record.

Match the delivery to the final order, not a product photo

Start with simple traceability. Record the order or purchase reference, delivery date and place, visible equipment identification where it is safely accessible, and the documents that arrived with the shipment. Then compare the high-level configuration described in the final record: model, mast, forks, attachments, battery, charger and specifically agreed accessories or documentation.

The aim is not to perform a technical acceptance test at the loading bay. It is to prevent an obvious mismatch from disappearing into an informal verbal conversation. If the receiving team cannot confirm an item, mark it as awaiting clarification rather than assuming that a similar-looking unit or generic product-family document answers the question.

Item to compareReceiving record to retain
Order identityPurchase reference, revision date and delivery destination
Truck identityModel and available unit or serial identification, recorded without operating the truck
Agreed configurationMast, forks, attachment, battery, charger and included items as described in the current order
Documents receivedPacking list, manual or other materials actually supplied, plus their language and version where shown
Outstanding itemsAnything missing, unclear, substituted or still subject to written confirmation

A data plate can help identify the delivered equipment, but it is not by itself a complete order check. Use our electric forklift data plate checklist to organise the configuration questions that should already have been reviewed before order release.

Record visible condition without diagnosing it

Make a factual, time-stamped record of the packaging and readily visible condition before unpacking changes the evidence. Note the shipment reference, container or vehicle reference if available, seal information if relevant to the agreed process, and the condition of external packaging. Take clear overview and detail photographs that show context, keeping originals with the receiving file.

If there is a visible issue, describe what can be seen rather than naming a cause or declaring the equipment damaged, unsafe or acceptable. For example, record a torn protective cover, a crushed corner of a crate, a missing labelled package or a visible scratch with its location. Follow the contract, carrier instructions and insurer or logistics adviser guidance for any notification, reservation or claim. Do not use a generic checklist to decide whether equipment may be energised, moved or put into service.

Factual observationHelpful record
External packagingWide photo, shipment label and a short description of the observed condition
Unit appearancePhoto showing the location and scale of a visible mark, loose item or packaging concern
Supplied loose itemsCount, label and position as received; avoid assuming a missing item was included
Document discrepancyDocument title, date or reference and the point needing clarification
Delivery receiptSigned or annotated copy, following the agreed carrier procedure

Keep transport acceptance separate from commissioning

A carrier receipt, warehouse unloading record and equipment commissioning record serve different purposes. Signing a delivery document may acknowledge that goods reached a location; it does not automatically show that the electric forklift has been installed, tested, charged, configured, trained on or approved for a particular workplace. Conversely, a later commissioning discussion should not erase a delivery-day exception that needed to be documented with the carrier or supplier.

Create separate folders or sections for transport documents, commercial order records, supplier clarification, delivered manuals and the site’s own commissioning or workplace records. This makes it easier to see which question belongs to which party. For example, a missing charger document can be a supplier clarification, while the local electrical installation and any decision to use charging equipment remain matters for the responsible site team and qualified people.

For the information that should be aligned before a battery and charger package is finalised, see our electric forklift charger compatibility checklist. It is not a substitute for the delivered instructions or an electrical review at the actual location.

Use a written exception and clarification log

A receiving issue becomes harder to resolve when it is mentioned only in a phone call. Record the date, observation, related document, photo reference, person reporting it and the action requested. Send the same factual record to the relevant commercial contact through the agreed channel, and retain the response beside the original note.

Do not turn the log into a claim of root cause, product defect, contractual liability or safety conclusion. Ask for the information needed to resolve the specific point: confirmation of the supplied item, a missing document, a packing explanation, a corrected delivery record or the next agreed commercial step. If the actual configuration appears different from the order, ask the supplier to identify the current proposal in writing before the buyer treats the package as accepted.

A configuration revision after delivery should have the same discipline as one before dispatch. Our electric forklift order change control checklist explains how to preserve one current record when a commercial or configuration question changes.

Prepare the site handover only after the receiving file is clear

Once the transport record and supplier clarifications are organised, the buyer can hand relevant materials to the people responsible for the next stage. This may include the end user, dealer, importer, maintenance contact or site employer. Give them the actual manuals and confirmed equipment information, not a receiving note presented as an operating instruction.

The receiving checklist does not authorise operation. The responsible site team should use the manufacturer’s instructions for the delivered truck and arrange its own applicable commissioning, training, evaluation, electrical and workplace processes. Where training records need to be coordinated with a dealer or end user, our electric forklift operator training records checklist can help clarify roles without treating a handover document as certification.

Electric forklift delivery acceptance checklist

Before treating an electric forklift delivery as administratively received, confirm that:

  1. the authorised recipient, configuration contact, carrier contact and supplier or dealer contact are recorded;
  2. the latest order or agreed configuration record is available at the receiving point;
  3. the model and available equipment identification are compared with the current record without operating the truck;
  4. mast, forks, attachments, battery, charger, loose items and documents are recorded as delivered, unclear or awaiting clarification;
  5. packaging and readily visible observations are photographed and described factually before evidence is altered;
  6. any exception is noted through the agreed carrier, contract and notification process, without diagnosing cause or deciding safety;
  7. transport receipt, commercial acceptance and site commissioning remain separate records; and
  8. configuration differences, missing documents and unresolved items receive a written response before the buyer closes the receiving file.

A disciplined delivery acceptance record helps an electric forklift buyer preserve the facts needed for the next commercial conversation without making unsupported conclusions about transport liability, technical condition, site suitability or safe operation.
