Electric Forklift RFP Checklist: How to Request Comparable Supplier Proposals

Build an electric forklift request for proposal that records the application, configuration scope, response format and unresolved questions before suppliers quote.

Start with the decision the RFP must support

An electric forklift request for proposal (RFP) is most useful when it helps a buying team compare suppliers against the same operating need. It is not a catalogue request and it should not ask a supplier to guess the application from a nominal capacity, a product photograph or a short model preference.

Before issuing an RFP, state what decision the team expects to make. It may be a single-truck purchase, a replacement programme, a distributor stock order or a fleet proposal for a new operating area. That decision determines the information suppliers need and the questions the evaluation team must be able to answer later.

An RFP does not establish that a truck is suitable for every task, approve a site, calculate performance, or replace the manual and competent advice required for the delivered equipment. Its value is administrative: it keeps the application, requested configuration and commercial questions visible while proposals are being prepared.

Create one controlled application brief

Give every invited supplier the same brief. Begin with the regular handling task, then describe the load, route and working pattern instead of starting from a preferred truck name. If the buyer is still deciding between several applications, separate them into labelled scenarios. A supplier can then state which scenario it has addressed and which point still needs confirmation.

RFP inputWhat the buying team should record
Handling taskReceiving, storage, production supply, loading or another defined regular task
Load and palletMaximum regular weight, dimensions, pallet format, load centre where known and any overhang
Lift and placementRequired fork or load-placement height, rack details and obstructions on the route
Route and clearancesAisles, doors, turns, loading areas, slopes, surface changes and constrained locations
Operating patternShifts, peak periods, expected truck allocation and availability windows
Energy and charging contextBattery or charger preferences only where known, plus the planned charging location and site information available for review
Destination and documentation questionsMarket, language, import or document questions that the buyer wants the supplier to address

For the core application fields, see our electric forklift buying guide. Where a quotation depends on constrained storage routes, add the measurements in the forklift aisle width guide rather than asking suppliers to infer clearance from a building size.

Separate requirements, preferences and open points

A strong RFP does not present every statement as fixed. Mark what is a requirement, what is a commercial preference and what remains open for supplier discussion. This simple distinction reduces the risk that two proposals appear comparable even though they relied on different assumptions.

For example, a buyer may require a defined handling task and destination market, prefer a particular mast arrangement, and still need a supplier to review the final battery-and-charger package against the actual work pattern. The RFP should identify those categories clearly; it should not imply that an unconfirmed preference is already part of the selected configuration.

Keep an open-points register with four fields: question, evidence needed, owner and decision date. A missing load dimension, an unmeasured doorway or an unresolved electrical question should remain visible rather than becoming an unstated assumption in a supplier response.

Define the response format before proposals arrive

Ask suppliers to respond in a format that lets the team compare like with like. The goal is not to prescribe a supplier's engineering method. It is to make the proposed scope, assumptions and exclusions readable in one place.

Response sectionWhat to request from each supplier
Proposed configurationModel, mast, forks, battery, charger, tyres, attachments and stated included options, where applicable
Application basisThe RFP scenario and operating information used in preparing the response
Assumptions and exclusionsEvery point not included, not supplied or still awaiting buyer confirmation
Documentation discussionProduct, commercial or import documents that can be discussed for the actual order and destination
Commercial scopePrice basis, validity, stated delivery terms, payment discussion and any services or costs that are outside the proposal
Support discussionAvailable channels and responsibilities to be agreed, without assuming local coverage or response commitments
Clarification logQuestions the supplier needs answered before it can finalise a proposal

Do not award preference to a response simply because it is the shortest or uses the broadest promise. A useful proposal identifies what it is offering and the limits of the information it received. It should distinguish the actual quoted configuration from a catalogue family or optional feature shown in an image.

Use a shared evaluation sheet

Before receiving proposals, decide how the team will record them. Use the same column headings for each supplier and retain the original response beside the comparison. A worksheet cannot determine the correct truck, but it can show when proposals are based on different loads, heights, routes, duty patterns or commercial terms.

Review the application basis first. If one supplier has quoted against an incomplete or different scenario, request clarification before comparing prices or headline specifications. Then compare the written configuration, included scope, exclusions and open questions. Our electric forklift quote comparison checklist provides a practical follow-on method for reviewing responses once they are in hand.

For a fleet or staged replacement, add an implementation column that shows the proposed unit sequence, dependencies and unresolved buyer responsibilities. Do not turn this into a delivery promise unless the supplier has confirmed it in the relevant agreement. The electric forklift fleet replacement planning guide can help separate the current work record from the future purchasing decision.

Keep commercial and technical records connected but distinct

The RFP should connect the commercial request to the technical application without treating them as the same document. Record the requested delivery point, contract questions and import responsibilities separately from the load, mast, battery, charger and attachment discussion. This makes it easier to identify whether a later change affects the equipment, the commercial arrangement or both.

If the order may cross borders, ask the buyer's own logistics, customs and legal advisers to review the transaction-specific obligations. For a starting list of commercial questions to keep separate from the forklift specification, see our electric forklift Incoterms checklist. The final contract and any destination requirements, not this article, determine the parties' obligations.

Close the RFP with a documented decision

Before moving from selected proposal to order, save the final RFP, supplier clarification, evaluation sheet and agreed configuration record together. Reconcile any difference between the preferred proposal and the final order: model, mast, forks, battery, charger, attachment, documents, named delivery point and exclusions should be traceable to the same controlled record.

A late change is not automatically minor. If the load, route, lift task, battery arrangement, attachment, destination or commercial scope changes, reopen the affected questions and ask the appropriate party to confirm the revised basis. Do not rely on an earlier RFP answer for a configuration that has since changed.

Electric forklift RFP checklist

Before issuing an electric forklift RFP, confirm that:

  1. the business decision, applications and buying scope are stated clearly;
  2. every invited supplier receives the same controlled load, route, lift, schedule and destination information;
  3. requirements, preferences and unresolved questions are labelled separately;
  4. the response format asks for a written configuration, application basis, inclusions, exclusions and clarification needs;
  5. commercial terms and technical configuration are connected but recorded as distinct subjects;
  6. the evaluation sheet flags differences in scenario, scope and assumptions before price comparison;
  7. site, electrical, safety, legal and import matters remain with the responsible qualified parties; and
  8. the final order is checked against the selected response and all approved clarifications.

A clear RFP gives an electric forklift procurement team a better basis for comparable proposals without making unsupported claims about performance, safety, compliance or delivery.
