DEALER & SITE HANDOVER

Electric Forklift Operator Training Records: A Buyer and Dealer Checklist

Prepare a clear operator-training handover record for an electric forklift order while keeping site-specific training, evaluation and legal responsibilities with the employer.

Treat training records as a handover subject, not a brochure item

An electric forklift purchase can be commercially complete while the buyer, local dealer and site employer still have different assumptions about operator training. A product quotation, a data sheet or a general online course does not by itself show who will train people on the delivered truck, who will evaluate workplace use, or which records the employer needs to keep. Those questions should be visible before shipment, delivery or site handover.

This checklist helps procurement teams and distributors organise the information needed for a responsible handover discussion. It is not an operator-training course, a safe-operating procedure, a site risk assessment, a certification, or legal advice. The delivered equipment instructions, the employer's workplace, applicable local law and suitably qualified people determine what training, evaluation, supervision and records are required.

Start with the party responsible for the workplace

The buyer should identify the entity that will control the workplace where the truck is expected to operate. That party may be the end user, a branch operation, a logistics provider or another employer; it is not automatically the manufacturer, exporter, seller or dealer. Record the legal and operational contact alongside the actual delivery destination.

For U.S. general-industry workplaces, OSHA's powered-industrial-truck rule places operator-training and evaluation duties on the employer. Its training requirements include formal instruction, practical training and a workplace performance evaluation; OSHA also specifies a certification record for the training and evaluation. Review the current OSHA powered industrial truck training requirements for their scope and wording. Other countries, sectors and sites can have different requirements, so the employer should obtain local guidance rather than treating a U.S. source as a global rule.

Handover questionRecord before delivery or release
Workplace employerEntity, site contact and location that will control the work environment
Equipment userEnd user, dealer demonstrator, rental customer or other party expected to operate the delivered truck
Training ownerParty that will arrange legally applicable, truck- and workplace-relevant training and evaluation
Delivery roleWhat the supplier or dealer will provide, such as manuals, product familiarisation material or a named technical contact
Open pointsMissing site information, local rules, language needs or responsibilities awaiting written confirmation

A buyer should not infer that a supplier will run workplace training merely because it provides manuals or describes an orientation. If a dealer or third party may provide support, ask for its role, limits and commercial scope in writing.

Link the record to the actual electric forklift configuration

A useful training handover file begins with the exact truck, not a broad product family. Record the model, serial or equipment identification when it is available, mast, forks, attachment, battery and charger configuration, and the delivered instruction documents. This prevents a later training discussion from relying on a photo, a base-model sheet or material that describes a different setup.

The buyer should also preserve the practical application information that was used when the configuration was discussed: normal load, pallet format, lift task, route, doors, rack areas, ramps, charging location and intended shift pattern. That material is not a training plan or an approval of the site. It gives the employer and any qualified trainer a clearer starting point for deciding what applies to the actual work.

For a configuration consistency review before release, use our electric forklift data plate checklist. Where an attachment changes the task, keep the load and route brief with our electric forklift attachment selection guide. Both should remain separate from the employer's own training and safety decisions.

Configuration recordWhy it belongs in the handover file
Final quotation or orderShows the commercial scope being delivered
Model and unit identificationConnects handover material to a particular truck when available
Mast, forks and attachment recordMakes changes from a standard configuration visible
Battery and charger informationIdentifies the supplied equipment without creating electrical instructions
Delivered manuals and languageLets the responsible party check what official material accompanies the truck
Application briefPreserves the buyer's stated use case and questions for qualified review

Do not use a training record to fill gaps in the order. If the attachment, battery, charger, intended environment or delivery document differs from the agreed record, flag the difference and request a written clarification before treating the handover file as complete.

Separate familiarisation, training and evaluation

The same words are often used for very different services. A delivery demonstration may explain controls or documents. A distributor may offer product familiarisation. An employer may need to arrange a wider training and workplace evaluation process. A purchaser gets a better commercial record when each activity is named plainly instead of being grouped under an unsupported promise of "certification" or "complete training."

Ask each proposed provider to state what it will and will not do. The response should identify the equipment covered, location, language, expected attendees, documentation provided, prerequisites, cost scope and the party responsible for any legally required evaluation or record retention. Avoid assuming that attendance at a video, handover meeting or online module proves authorisation to operate a particular truck in a particular workplace.

OSHA's operator-training guidance is useful for understanding the U.S. distinction between formal instruction, practical training and workplace evaluation. It does not replace the current rule, the delivered manufacturer's instructions or the employer's obligation to assess its own applicable requirements.

Activity to labelBuyer question to ask
Product handover or familiarisationWhich delivered truck and documents will be covered, and what is explicitly outside the session?
Formal instructionWho is responsible, what framework applies and how will the content relate to the delivered equipment?
Practical trainingWho will organise it, where will it occur and under whose responsibility?
Workplace evaluationWhich employer or qualified provider owns the evaluation for the real operating environment?
Record retentionWho creates, owns and retains the records required for the applicable location?

This distinction matters especially for cross-border orders. A manufacturer can provide configuration information and documentation, but that does not transfer the site employer's responsibilities or establish that a remote session meets a local regulatory requirement.

Prepare a controlled handover pack

Before delivery, create one short list of documents and unanswered questions. Keep versions together: a revised quotation should not be paired with an earlier manual or an outdated application description. The handover pack can travel with the procurement file, but the employer should decide which parts it needs for its own compliance, training and operational records.

A practical pack may include the order and configuration record, available manuals, available declaration or market documentation when applicable, a delivery or commissioning contact, the buyer's application brief, the proposed training-support scope, and an open-points register. It should not claim that every item has been supplied or that every employee is trained. Mark every absent item as pending or not applicable.

If the order is for a dealer's first demonstration unit, the electric forklift dealer demo fleet planning checklist can help separate the future demonstration programme from the end customer's workplace responsibilities. For a final commercial comparison, keep the handover scope beside the same application basis in our electric forklift quote comparison checklist.

Ask about language, recipients and change control

The correct handover material is useful only when the responsible people can identify it and understand its role. Record the language required for the delivered manuals, labels and any agreed support material, together with the intended recipients: site manager, maintenance contact, trainer, dealer contact or importer. Do not assume that English material alone is adequate for every destination, or that translation by an unrelated party preserves the meaning of the manufacturer's instructions.

Change control is equally important. A later mast, fork, attachment, battery or destination change can affect the documents and questions that need review. Keep one current configuration record, date every significant communication and tell the parties responsible for training or handover when the intended equipment or work environment has changed.

This is an administrative safeguard, not a technical conclusion. The qualified people responsible for the workplace should decide whether a change requires additional training, evaluation, documentation or another action under the applicable rules and the delivered instructions.

Close the file before releasing responsibility

Before the buyer describes an electric forklift handover as ready, compare the final configuration, delivery documents and stated support scope with the controlled record. Confirm the route for unresolved questions after delivery. A named person is a contact, not a guaranteed response time, local service capability or legal responsibility unless the contract says so.

The buyer should avoid declaring an operator "certified" or a workplace "approved" based on a purchasing checklist. Instead, record which materials were supplied, which responsibility sits with which party and which local or site-specific questions remain open. This makes it easier for the employer and dealer to take the next appropriate step without relying on assumptions made during procurement.

Electric forklift operator training records checklist

Before releasing an electric forklift order for delivery or handover, confirm that:

  1. the workplace employer and the party responsible for applicable operator training, evaluation and record retention are identified in writing;
  2. the final truck configuration, including relevant mast, forks, attachment, battery and charger information, is traceable to the handover file;
  3. delivered manuals, language needs and any agreed product-familiarisation material are listed without overstating their purpose;
  4. familiarisation, formal instruction, practical training and workplace evaluation are described as separate activities with clear owners;
  5. the application brief, site contacts and open points are shared only as relevant information for the responsible parties to review;
  6. any support offered by a manufacturer, exporter or dealer is stated with its inclusions, exclusions and commercial limits;
  7. configuration, destination or workplace changes trigger a review of the affected documents and responsibilities; and
  8. the employer seeks qualified local advice for legal, workplace-safety, training and evaluation duties that apply at the actual site.

A clear handover record helps an electric forklift buyer and dealer prepare for the next conversation without promising that a person is trained, a truck is suitable for a site, or a legal obligation has been met.
